Managing Stock

Stock management is the heart of e-commerce operations. Merzio allows you to track products, variants, availability, and stock statuses in one place. In this guide, you will learn how to efficiently manage your stock and set up warehouses.

Stock List Page

Accessing /admin/stock takes you to the main stock management page. This page provides a comprehensive overview of all your products and their status.

Search and Filtering

At the top of the page, you will find several tools for quickly finding products:

  • Search — Enter a product name, SKU, or ID for quick search
  • Warehouse (Dropdown) — Select a specific warehouse, e.g. "Main warehouse", to see stock only for that warehouse
  • Stock status — The "All stock" filter allows you to filter by product availability

Sorting

You can sort products using the Sort by option:

  • Name: A-Z — Alphabetically by name
  • Other criteria by availability and dates

Bulk Import and Export Actions

In the top right corner, you will find two key buttons:

  • Export stock — Download a CSV or XLSX file with all current stock data
  • Import stock — Upload a previously downloaded or modified file to update bulk stock at once

Product Properties in the List

Each row in the stock list displays key product information:

Availability Indicators

Availability is displayed visually:

  • Green color — Product is available in sufficient quantity
  • Red color — Product is sold out or has no available stock

Products with Variants

If you have products with variants (e.g. different sizes or colors), the list displays:

  • Expandable section — Click on "variants (X)" text (e.g. "variants (3)") to expand the list of all variants
  • Each variant has its own SKU, EAN, and stock data
  • Stock is counted separately for each variant

Stock Actions

Add Stock

  1. On the Stock page, select the Add action
  2. Enter the quantity you want to add (positive number)
  3. Optionally enter a note
  4. Select one or more products or variants from the list (by checking)
  5. Optionally select a warehouse — if you leave the field empty, the default warehouse is used
  6. Click Update stock

Remove Stock

  1. Select the Remove action
  2. Enter the quantity to remove (positive number; the system will apply it as a negative change)
  3. Optionally enter a note and select products/variants and warehouse
  4. Submit the form

Transfer Between Warehouses

  1. On the Stock page, select the Transfer action
  2. Choose From warehouse and To warehouse — they must be different
  3. Enter the quantity to transfer
  4. Optionally enter a note
  5. Select products or variants to transfer
  6. Submit the form

WARNING

If the source warehouse does not have enough stock, the transfer will be rejected with an error indicating the available quantity.


Warehouse Settings

Path: Admin > Warehouse Settings (/admin/warehouses)

Warehouse List

On this page, you can see all your warehouses displayed as cards. Each card contains:

  • Name — Warehouse name (e.g. "Main warehouse", "Prague branch")
  • Code — Abbreviated code (e.g. "ESHOP", "CZ01")
  • Status — Whether the warehouse is active or inactive
  • Location — Physical warehouse address

Adding a New Warehouse

Click the + ADD WAREHOUSE button in the bottom right corner. A form opens with fields:

  • Warehouse name — E.g. "Second warehouse"
  • Code — Unique code, e.g. "SK02"
  • Status — Select Active or Inactive
  • Address — Physical warehouse address
  • Contact details — Phone or email

After filling in, click Save warehouse.


Stock Settings

Path: Admin > Settings > Stock (/admin/settings/stock)

Stock Reservations

In this section, you configure how long products are reserved for a customer during the ordering process:

  • Enable Stock Reservations — Activate/deactivate reservations using the toggle
  • Reservation expiry time — Set the time in minutes (1-1440 minutes, default value is 20 minutes)
    • If the customer does not pay for the order within the set time, the reservation expires and stock is released
    • Minimum 1 minute, maximum 24 hours (1440 minutes)

Stock Watchdog

This feature allows you to send notifications when a product sells out:

  • Enable Stock Watchdog — Activate automatic alerts
  • When a product reaches 0 units, you will receive an email notification
  • Useful for managing warehouse capacity and planning new purchases

Global Stock Status

The "Global Stock Status" section provides a visual overview:

  • Status chart — Shows the total number of products, availability, and sold out items
  • Statistics — Option to view counts in table form
  • Helps you quickly understand the state of your stock across the entire system

Tips and Best Practices

  • Regular export — Export your stock regularly as a backup
  • Use warehouses — If you have multiple physical locations, create a warehouse for each one
  • Monitor variants — Regularly check that all variants are properly stocked
  • Shorten reservation time — If you have higher traffic, shorten the reservation time to fewer minutes
